Use Associated People:
- ONLY IF the client is receiving or about to receive service from your Team, or
- When the associate is dependent on the other client for care
Enter Associated Person
1. Click Client's Contacts in the Central Index Option Tree
2. Click Insert a row in the Associated People form, the Associated Person window will appear:
3. Enter the following fields:

Associated person: Click the
or press F4, the Person search window appears
- Search for the associate: See instructions for Searching for a Person (All search steps must be completed before moving to the next step)
- Select the client: Associates name will appear in the Associated Person field
- Client / person status and Client / person ID will auto-populate with Associated person's information
- If NO match is found, press Escape (ESC) and search for the “associate” from Central Index – If the person isn’t found click on New Registration or Central Index and either click the new client with same Demographics icon or Person Search icon and create the person. Log a Team Referral for the person.
- Do NOT use the Minimum Registration window

Relationship: Click the
or press F4. The Person-Person Relationship look up appears:
- Select the appropriate Relationship from the picklist. Ex. SPOUSE (Code: SP)

Association: Click the
or press F4 and the Person-Person association lookup appears:
- Select the appropriate Association from the picklist. Ex. FAMILY (Code: FAM).
- Valid from: Enter the starting date of association
- Valid to: Enter the ending date of association
4. Click Accept Changes or Enter & press F12 to Save.
5. The name of the client you have entered, appears in the options tree.
TIP: Clicking Allocated workers will show the Involved Staff of the selected Associated Person.
Modify Associated Persons Demographics
You cannot modify Relationship or Association!
- If the incorrect Relationship and/or Association was selected, end date the Association by entering the date in the Valid to field
- If the name is wrong - make the person current and make the corrections in Central Index
Wrong Associate
IMPORTANT! If the associate was entered against the wrong client you must remove the associate from your client AND remove your client from the associate’s record.
- Click on the associate then the Make Person Current button and activate the associate
- Click on your client’s name in Associated people
- Click Remove row, press enter when confirm window appears
- Press F12 to Save
- Click Search for a Person and enter the associate's name
- Click on the associate’s name
- Click Remove row
- Press F12 to save
Involved Staff displays all community staff that are currently/historically allocated to the client
Allocate a Staff Member
1. Click Insert a row
2. A list of open referrals at your team appears in the Referral lookup window
3. Select the appropriate referral
4. The Allocation details window appears:
5. Update the following fields:
- Staff: Press F4 to search for the appropriate team member
- Team: Defaults to your Team
- Date from: Defaults to today's date
- Type of allocation: Press F4 to select the appropriate allocation type
- Status: Press F4 to select the appropriate allocation status
- Notify staff of allocation: Tickbox defaults to ticked and sends the allocated member a notification message to notify of the allocation
- Authorised by: Defaults to your name
6. Click Accept Changes & F12 to Save. The newly allocated team member should appear under involved staff for your team with the date of their allocation below their name
External Agencies contains a list of organizations and agencies that support your client outside of the VC teams and programs.
Enter External Agency
Org search directions:
1. Click Insert a Row and press the F4 key to launch the picklist
Organization Search:
- You can search for an Organization by Name, Code, Address, or partial address or use the Type & Find.
- Name: Partial Name search: Enter partial name of the Agency in Name field. Enter an Asterisk(*) before and after the partial name (e.g. * byron * ) press Ctrl + S
- Code: If you know the agency code, enter it in Code field & search
- Partial Address: You can search by partial address by entering an * on both sides of partial address (e.g. *Granville*) then press Ctrl + S
- Any combination of above search parameters can be used such as:
- Partial address with partial name or
- Partial code with partial name and so on.
- You can also use the 'Type & Find' field to navigate the picklist
Important: When using a partial name, you must use asterisks either before, after or before and after the text. (e.g. *home*)
Enter additional Organizations in External Agencies / Other Professionals grid.
Wrong External Agency
IMPORTANT: If you entered an External Agency in error and the client has NEVER been associated with nor involved with said agency call PARIS Support at 604-875-4334 and ask to have the erroneous agency removed.
Enter an Email Address
You can enter an email address in PARIS. Enter the email in Contact Details:
- Enter everything prior to the @ sign in the prefix.
- Enter everything after the @ sign in the suffix.
- Do not enter the @ sign itself.
- Do not exceed 16 characters.
