Correct an Allocation 'Entered in Error'
Allocations can be modified from a number of Applications in PARIS
- Involved Staff section from Central Index, Associated People form
- Involved Staff section in Team Caseload application
- Involved Staff section in Allocation / Association application
There are some modifications which can be made to an allocation. These include:
Update the Type of Allocation e.g. Key Provider to Co Provider
The Type of Allocation can not be modified. For example:
- You need to change your allocation from Key Provider to Coprovider
- You made an error on the Type of allocation and you need to correct it
If you need to change a Type of Allocation, you will need to create a new allocation and then end date the previous allocation.
Steps
1. Open the Involved Staff section from one of the three options above.
2. Expand the Options Tree by clicking thebeside the appropriate Team and Staff member.
3. Select the referral (date) under the Staff you wish to end allocation (e.g. 08/05/2012-).
4. Click Insert a row under the Involved Staff heading to create a new allocation for the same staff person.
5. Complete the mandatory fields and enter the new Type of Allocation.
6. Accept the Changes and Save.
7. Select the older allocation and click Modify row.
8. Enter the following fields:
- Date To: Enter the date (dd/mm/yyyy). Remember, you can press Ctrl + T for today's date
- Authorized by: Enter your user name and press tab.
9. You should see two allocations for the same person but one has been end dated.
End an Allocation
Steps:
- Open the Involved Staff section from one of the three options above.
- Select the allocation you would like to end date and click Modify row.
3. In the Allocation Details pop-up, enter in today’s date into the “Date to” field.
4. A mandatory field, “Authorized by” appears under Allocation Details. Enter in the staff member.5. 5. Click Accept Changes and Save.
6. Under the client’s allocations, the end-dated allocation should appear in grey text.
Modify Allocation Status
Your team's workflow will dictate which specific Allocation Status to use.
Steps
1. Open the Involved Staff section from one of the three options above.
2. Expand the Options Tree by clicking the beside the appropriate Team and Staff member.
3. Select the referral (date) under the Staff you wish to modify the allocation (e.g. 08/05/2012-).
4. Click Modify row under the Involved Staff heading.
5. Update the Status field by typing the new status or click or F4 and choose the new status.
6. Press Enter and Save.
Correct an Allocation 'Entered in Error'
Scenario 1:
If the allocation was made with the wrong date and the incorrect allocation date is after the correct date, end-date the allocation and re-enter a new allocation with the correct start date.
Scenario 2:
If the allocation was made with the wrong date and the incorrect allocation date is before the correct date, call PARIS Support to mark the incorrect allocation Entered in Error.
Scenario 3:
If the wrong person is allocated, enter an end date and proceed to call PARIS Support to mark the incorrect allocation Entered in Error.
Scenario 4:
The allocation was made against the incorrect client, call PARIS Support to mark the allocation Entered in Error.
