The PARIS access model is team-based. Staff are expected to access records only when necessary for their role.
If you need to access a client record, you must:
- have an open Team Referral
- or Break Glass
Allocation and Association indicate the relationship you have with the client.
- Allocate or Associate based on your program’s workflow
The Allocation / Association application allows you to either allocate yourself or your staff to a client (add the client to a caseload) or indicate that you or your staff accesses/accessed the record. Examples would be:
- Allocate a referral to one or more clinical providers to add the client to their caseload(s).
- Associate Self as Other Provider to indicate you opened the record to view information, or are a casual and do not carry a caseload (e.g. clerical staff or casuals).
- Associate another staff member as Other Provider when staff member knows for sure that another staff member will be accessing record (e.g. when assigning casual staff).
Note: Association Is not a mandatory requirement by VCH Privacy, but specific program requirements may vary
This section allows you to see at a glance whether or not the logged on user is currently allocated or associated. If Am I Allocated / Associated? is ticked, you’re allocated or associated. According to this screen shot below, the user is not currently allocated or associated as the tick box is not populated.
This section shows staff currently or historically allocated to a client. Clinicians are allocated if the client is one their caseload. Clerical and support staff should be associated, as they do not carry a caseload.
Allocate Staff Member from Allocation/Association application
This section allows you to associate yourself to the client as other provider. For clerical/support staff, staff who do not provide direct clinical care, and casual clinicians who do not require the client on their caseload.
NOTE: Does not add client to staff member's caseload
Associate Self or Other Provider to Referral
This section allows you to view all staff associated to client's file including historic associations and is where you should be ending your association with the client.
