Collect Client Details
It is best practice to collect the following data elements for all clients for accurate client identification:
- Full last name
- Full first name
- Full middle name (if applicable)
- Gender
- Complete date of birth (dd/mm/YYYY)
- Full home address including postal code
Ensure you have exhausted all search steps before creating a new person in PARIS.
Similar to Central Index, the Person Details, the Last Name, First Name, Gender, Address fields are mandatory fields in the New Registration form.
- Click Save after completing the mandatory fields. If you don’t, your record may corrupt. After saving continue completing the New Registration form.
- Do NOT use unknown in the last name field
- Only use the New Registration form to “create” new clients. Don’t use the New Registration form to update client information. Updates to demographics must be done in Central Index.
- Using the Tab key and other keyboard shortcuts will make navigation more efficient
- Do NOT use, brackets (), *, /, or comma’s in first or surname. . Apostophe’s however are acceptable e.g. O’Sullivan, O’Brien.
- Enter suffixes such as Jr. or Sr. after Last Name e.g.: Jones Jr.
- If suffixes such as Jr. or Sr. are part of the person’s LEGAL name, enter them in Last name, & ALWAYS enter an alias in Names section of Central Index without the suffix. Not doing so may cause duplicates to be created
- For Canadian addresses always use ‘Address Search’
- Enter as much demographic detail as possible to make the person unique. This will help to prevent duplicate creation
- Do NOT register a person if you do not know their name. See Central Index guidelines on PARIS website.
NOTE: PARIS automatically assigns a PARIS ID to a new person. PARIS ID appears next to the person’s name in the Client Banner.
