Duplicate clients display with a title of ‘Void’ in the search result pane. In this example Randolf Lee is a duplicate of Anthony Lee. You can see VOID - DO NOT USE beside his name. Do not enter data in a duplicate client.
Please note that only duplicate clients previously reported to Health Records and then subsequently merged will have VOID DO NOT USE or VOID DO NOT USE COMPLETED in the title field in the search results pane (or in their record)
For clients with a duplicate record, a VOID message on the Title field will show:
- VOID – DO NOT USE - merging process is still on going.
- VOID DO NOT USE COMPLETED – merge has been completed.
- If you find Duplicates NOT marked Void follow the steps found in Duplicate Record guidelines on the PARIS web site: Duplicate Reporting Form
NOTE: Please see Duplicate Client Record Guidelines – All Programs. It is found under Guidelines for Duplicate Record Merge on the PARIS Website.
After a record is merged (Completed) the address is removed and replaced with a message warning user not to use this record and go with the correct PID.
